Get set up in five steps

Before you invite your first family, get the basics in place. Each step takes less than two minutes.

Create your coach account — sign up at app.twirlpower.com, select the "Coach / Club Owner" path, and fill in your studio name and the orgs you coach.

Complete your profile — add your photo, bio, default lesson rate, and cancellation policy. This is what families see when they find you in search.

Connect Stripe — go to Profile → Payments tab and connect a Stripe account. Takes about two minutes, and turns every invoice into a one-tap payment for families.

Build your roster — search for families already on TwirlPower or invite new ones by email. The rest of this guide covers each piece of the workflow in detail.

Claim your club — if you run a studio, find it in the directory and claim it. Your club profile gives your program a home families can discover.
Your Roster

Building your roster

Every tool in TwirlPower starts with your roster. Get a family linked, and the rest of the workflow connects automatically — messaging, scheduling, invoices, progress tracking.

Search for existing TwirlPower users

In the sidebar, go to "Roster."

Tap "+ Invite Twirler." A search box appears — type the family's name or email address.

If they're already on TwirlPower, they'll appear in results. Tap "Invite" to send a connection request. They'll get an email and can accept from their dashboard.

Once they accept, their twirler appears in your roster with current classification chips for every org they compete in.

Invite a family by email

From the same "+ Invite Twirler" dialog, enter the family's email address if they're not already in the system.

They'll receive an invitation email with a signup link. When they create their account and add their twirler, you'll be notified and the link will show as pending in your roster.

You can also invite multiple families at once — use the bulk invite to search and queue several at the same time.
No more tracking wins in a spreadsheet. Once a twirler is on your roster, advancement alerts fire automatically the moment they hit a threshold — you'll know before the family does.
Scheduling

The seventeen-text back-and-forth is done.

Families request a time, you confirm or offer an alternate — automatic reminders handle the rest.

When a family requests a lesson

You'll get an email notification and an unread badge on the "Schedule" nav item in the app.

Open "Schedule""Upcoming" tab. Pending requests appear at the top.

Tap "Confirm" to accept the requested time, or "Suggest Different Time" to propose an alternate slot. The family sees your response immediately and gets an email.

Once confirmed, automatic reminder emails go to both you and the family — 24 hours before and 1 hour before the session.

When you want to schedule first

In "Schedule," tap "+ Schedule." A picker appears: choose "Private Lesson."

Choose the twirler, set the date, time, and duration. The rate pre-fills from your default but you can override it per session.

Save. The family gets a notification that a session has been proposed and can accept or decline from their Schedule tab.

After the session

Past confirmed sessions move to the "History" tab with a "Log & Invoice" button.

Tap it to log what you worked on — skills, notes, duration — and create a lesson record that feeds directly into invoicing.
Set your cancellation policy first: Go to Profile → Profile tab and fill in the Cancellation Policy field. Families see it before they submit a request — so expectations are set upfront, not after a missed appointment.
Classes & Events

Group sessions, without the group chat chaos.

Schedule a class or event, invite your whole roster with one tap, set a price and a capacity — and let TwirlPower handle the invoicing automatically when it's done.

Create a class or event

From the "Schedule" page, tap "+ Schedule." The picker asks what you'd like to schedule — choose "Class" for group instruction or "Event" for a performance, parade, or special occasion.

If you own a club, you'll also be asked: "As a coach" (personal, invoiced through your account) or "For my club" (invoiced through the club). Choose whichever applies.

Fill in the details: name, description, date, time, duration, location, price, and capacity (optional — leave blank for unlimited spots).

Under "Invite twirlers," choose "All twirlers" to invite your whole roster at once, or "Choose specific" to select individuals. You can also skip invites now and add them later from the class card.

Tap "Schedule." Invited families get an email and a notification in their app — they can accept or decline from the Notifications tab.

After the class

The class card on your Schedule page shows real-time enrollment: how many invited, how many accepted, and spots remaining.

When the class is done, tap "Mark Complete." If you set a price, TwirlPower automatically generates and sends an invoice to every accepted family — no manual billing needed.

Free classes ($0) complete with no invoice generated. Everything else flows through the same invoice system — families see it in their Invoices tab and can pay by card in one tap.

Capacity is soft-enforced: When a class fills up, the invite UI closes and families see a "Limited to N spots" note. Spots are tracked by accepted responses — so if you need a hard cap, keep an eye on acceptances and close invites manually once you're full.
Getting Paid

Sending an invoice

Families are already in TwirlPower. When you send an invoice, it lands where they're already looking — and they can pay by card the moment they open it.

In the sidebar, tap "Invoices," then "+ New Invoice."

Select the family this invoice is for. Choose from your linked roster.

Add line items — each has a type (Private Lesson, Group Clinic, Equipment, Competition Fee, or Other), a description, and an amount.

Shortcut: tap "Import uninvoiced lessons" to pull in any logged lesson records that haven't been billed yet. They populate the line items automatically.

Set a due date and add an optional note to the family.

Tap "Save as Draft" to come back to it, or "Send Now" to deliver it immediately. The family gets an email with a summary and a Pay Now link.

Tracking what's paid

Your invoice list has status filter tabs — All, Draft, Sent, Paid, and Overdue — so you can see at a glance what still needs attention. Each invoice is numbered sequentially (INV-0001, INV-0002…) and can be printed or saved as a PDF.

When a family pays online, you'll get a confirmation notification. To mark a cash or Venmo payment as paid, open the invoice and tap "Mark Paid" — you can add an optional note that goes to the family as confirmation.

Note on card payments: When a family pays by card through TwirlPower, the amount goes directly to your connected Stripe account. TwirlPower charges a 2.5% platform fee, in addition to Stripe's standard processing fee. You can also add your Venmo or Zelle handle to your profile — families see it on every invoice alongside the Pay button.
Competitions

Keep your whole roster on the same page.

Create a competition record and invite your twirlers in one step. They get notified, accept or decline, and it lands on their schedule automatically — no separate texts or emails needed.

Add a competition and invite your twirlers

In the sidebar, open "My Competitions." If the competition you're coaching at is already listed in TwirlPower, your twirlers can find it and add it themselves.

If it's not listed, tap "Can't find a competition listed? Add it here →" at the bottom of the competitions view.

Fill in the competition details: name, date, organization, venue, address, state, start time, and any notes (e.g. "Bus leaves at 7am").

Select the twirlers you want to invite — your full roster is pre-selected by default. Tap "Send Invite."

Each invited family gets an email notification. When they accept, the competition is added to their schedule automatically and shows up in their Competitor's Edge dashboard on competition day.
Tip: Your competition history view shows both Twirler History (results per twirler) and Competition History (all competitions you've coached at). Use the twirler filter to pull up one athlete's full record across every event.
Messaging

Group texts with parents are a disaster.
TwirlPower messaging is not.

Broadcast to your whole roster at once, or go direct with one family. Read receipts tell you who's actually seen it.

In the sidebar, tap "Messages."

Tap "All Families" at the top of your thread list. One message goes to every family on your roster.

Type your message and send. Each family sees it in their own inbox — their replies come back as individual threads, so a family responding doesn't create a pile-on chain everyone else sees.

Start a direct conversation

From "Messages," tap "+ New Message" and select a family from your roster.

This opens a private thread. Families can also start a conversation with you — you'll see a badge on the Messages icon when there's something unread.
Tip: Email notifications go out automatically when you send a message, so families stay in the loop even when they're not in the app.
Your Club

Give your studio a home in TwirlPower.

Claim your club, manage your roster, and schedule classes directly from your club page. Families can find you in the directory and request to join.

Claim or create your club

In the sidebar, tap "My Club." You'll see three options: My Clubs, Find a Club, and + Create Club.

Tap "Find a Club" to search for your studio. If it's already in TwirlPower, tap "Claim" — a request goes to TwirlPower for approval. You'll be notified when it's approved.

If your studio isn't listed yet, tap "+ Create Club," fill in the name, city, and state, and submit. Your club will be active immediately.

Approving twirler join requests

When a family requests to join your club, you'll see a badge on the "My Club" nav item and a pending notification in the sidebar.

Go to your club page → "Twirlers" tab. Pending requests show with an "Approve" button and a remove option.

Tap "Approve" and the twirler is added to your club roster. The family gets a confirmation email.

Scheduling classes for your club

From your club page, go to the "Schedule" tab and tap "+ Schedule."

The modal will ask "As a coach" or "For my club" — choose "For my club." If you have other coaches on your roster, you can assign the class to any of them.

Set the price and invite your club twirlers. Club classes use your connected Stripe account for billing — the same Mark Complete → auto-invoice flow as personal classes.
What's on a club profile right now: Club name, city, and state. A richer club profile — description, website, logo — is on the roadmap. If you want families to know more about your program, your coach profile is the place to put it for now.
Once You're Set Up

This is what one app feels like.

Once your roster is built and your first few sessions and invoices are in, the pieces start working together.

Your dashboard shows upcoming sessions and recent activity across your whole program. Advancement alerts fire the moment a twirler hits a threshold. Lesson records tie directly into invoices. Class completions generate billing automatically. And every family in your roster is already in the same app their twirler uses to track competitions — which means they're not managing two accounts to work with you. Less to manage, more time on the floor.
